This guide outlines how to modify existing reports and apply filters in Zoho Analytics to extract the specific data you need.
Category: Business Intelligence | Applies to: Zoho Analytics
By default, reports open in View Mode. To make changes:
Open the specific report from your Dashboard or Explorer.
Click the Edit Design button at the top left of the screen.
You will now see the Shelf (the X and Y axis area) where you can drag and drop different columns.
There are two ways to filter data depending on whether you want a permanent change or a quick toggle.
Use this if you want the report to always exclude certain data (e.g., excluding "Cancelled" orders).
In Edit Design mode, click the Filters tab above the shelf.
Drag the column you want to filter by into the Filter box.
Select the criteria (e.g., Status is "Completed") and click Apply.
Use this to allow users to switch between views (e.g., filtering by Date or Region).
In Edit Design mode, click the User Filters tab.
Drag columns like "Date" or "Sales Rep" into the box.
When you switch back to View Mode, these filters will appear as dropdowns at the top of the report.
To change how the data looks without changing the data itself:
Change Chart Type: Use the chart picker on the right to switch between Bar, Pie, Line, or Tabular views.
Rename Columns: Right-click a column header in the shelf and select Rename to make it more readable (e.g., changing "SKU_ID" to "Stock Code").
Sort Data: Click the Sort icon on the axis to arrange data from highest to lowest or alphabetically.
| Issue | Solution |
| "No Data Available" | Check your filters. You may have applied conflicting filters (e.g., Date = "Today" and Status = "Archived"). |
| Cannot see Edit button | You likely have Read-Only permissions. Contact your Admin to request "Shared-Edit" access. |
| Data looks outdated | Click the Settings icon and check the Data Sync status to ensure the latest info from Zoho Books or CRM has pulled through. |
Save: Overwrites the current report.
Save As: Creates a new copy. Use this if you want to experiment without breaking the original report.
Pro Tip: When filtering by date, use Relative Periods (e.g., "Last 30 Days" or "This Quarter") instead of fixed dates. This ensures your report stays current without manual updates.
