Accessing files shared with you in Zoho WorkDrive depends on whether you are an internal team member or an external collaborator.

If a colleague has shared a file or folder with you, follow these steps:
In the left-hand navigation pane, look for the Shared with Me section.
Shared with Me: This contains individual files or folders shared directly with your email address.
Team Folders: If the file is part of a group project, check the "Team Folders" section. You are automatically added to these based on your team permissions.
If you received a link via email but do not have a Zoho account:
Open the Email Notification or click the link provided to you.
If the folder is password-protected, enter the password provided by the sender.
If "OTP Verification" is enabled, click Send OTP. Check your email for the code, enter it, and click Verify.
You can now view or download the files based on the permissions set (View-only or Edit).
To access shared files directly from your computer’s File Explorer:
Ensure the Zoho WorkDrive TrueSync application is running.
Right-click the Shared with Me folder in your WorkDrive web interface.
Select Add to My Folders (if you want it to sync) or ensure the sync settings are enabled for "Shared with Me" in the TrueSync app preferences.
The files will now appear in your local WorkDrive (Z:) or designated sync folder.

| "Access Denied" | You may be logged into a different Zoho account. Log out and log back in with your company email. |
| File is missing | Check the Trash or ask the owner if the "External Sharing" link has expired. |
| Can't Edit/Upload | You may have "View-only" permissions. Contact the file owner to upgrade your role to Edit or Admin. |
If you cannot find a shared file, use the Search Bar at the top. You can filter by "Shared by" and type the name of the colleague who sent it to you to narrow down the results instantly.
